Position Summary:

The Fabrication Planner / Administrative Coordinator supports fabrication projects from start to finish, ensuring smooth communication, accurate documentation, and efficient project flow. This role combines project coordination, administrative support, and operations assistance to keep projects on schedule and customers informed.

Key Responsibilities:

- Coordinate project timelines, milestones, and deliverables with internal teams and customers.

- Maintain project documentation including estimates, purchase orders, drawings, and change orders.

- Assist with scheduling fabrication work, tracking job progress, and updating project management systems.

- Communicate with vendors to source materials, request quotes, and track deliveries.

- Support the fabrication team with administrative tasks such as work orders, job packets, and production records.

- Prepare customer updates, meeting notes, and project status reports.

- Assist with invoicing, cost tracking, and job close-out documentation.

- Maintain organized digital and physical filing systems for projects and company records.

Qualifications:

- 2+ years of project coordination, office administration, or fabrication/industrial experience preferred.

- Strong organizational and multitasking abilities.

- Excellent communication skills with internal teams, vendors, and customers.

- Ability to read or interpret basic technical drawings is a plus.

- Proficiency in Microsoft Office; experience with project management or ERP systems is helpful.

Work Environment:

- Office-based role with frequent interaction with shop personnel.

- Requires ability to move within shop environment and review in-progress fabrication work as needed.
